Pride in Action Network committee roles (2025 – 2026)
- Co-chairs (staff and student)
The co-chairs (staff and student) will lead the Pride in Action Network (PiAN) committee in meeting their responsibilities as detailed in the Terms of Reference.
The co-chairs work together to:
- Oversee all committee operations in line with the Terms of Reference, including monitoring and reporting
- Provide guidance and leadership to the planning and delivery of Network initiatives
- Support other members to understand and meet their committee responsibilities
- Act as a ‘first-port-of-call’ for UoM stakeholders engaging with the committee
- Represent the Network and committee at key meetings and events, as required
- Lead any collaboration with staff and student stakeholders (e.g. UMSU, GSA, other networks) on shared initiatives, as required.
- Ensure monthly meetings are successful by:
- Establishing a standardised meeting structure
- Approving meeting agendas and circulating papers in advance of all meetings
- Co-chairing meetings to facilitate discussion, note decisions, agree future actions, and keep to time
- Approving meeting minutes/notes for circulation after each meeting
- Secretary
The Secretary will be responsible for administrative tasks that support the effectiveness of the committee and Network initiatives.
Responsibilities include:
- Maintain accurate record keeping for member registration and databases
- Monitor and triage the PiAN shared inbox, as needed, to other committee members
- Monitor and track deadlines for reporting, activities and events
- Provide administrative assistance to support Network events and initiatives (e.g., room bookings, registrations, feedback, etc)
- Support administration of monthly meetings by:
- Drafting the proposed agenda for approval by the co-chairs (including call for items)
- Circulating papers and briefing materials in advance of each meeting
- Circulating minutes and action sheets following each meeting
- Facilitate the smooth running of monthly meetings by:
- Setting monthly meeting times and sending invitations for each calendar year
- Managing room bookings etc.
- Managing Zoom or Teams functionality to allow for online or hybrid meetings, including sharing slides
- Taking minutes/notes and keeping record of key decisions and action
- Treasurer
The Treasurer will be responsible for all tasks related to the committee’s financial management
Responsibilities include:
- Oversee the committee’s budget, and recordkeeping and tracking to acquit the PiAN budget
- Financial planning and budgeting for PiAN operations and initiatives
- Manage expenditure in-line with UoM processes (e.g., processing invoices, bookkeeping etc.)
- Provide regular financial reports to the PiAN committee (monthly) and to UoM contacts (as required).
- Marketing and Communications Leads (x2)
The Marketing and Communication Leads will be responsible for communications tasks related to member engagement, events and promotion.
Responsibilities include:
- Develop communications campaign to promote and build PiAN membership
- Develop and deliver communications for PiAN events/initiatives, including promotion, event information and publicity
- Maintain up-to-date information on PiAN webpages, and propose new content to upload
- Publish monthly newsletters by:
- Developing a schedule of work to ensure timely preparation, approval, publication and circulation
- Establishing content guidelines, format and design /style guides to be replicated for each edition
- Proposing newsletter ideas to the PiAN committee and co-chairs
- Drafting content as needed, and/or supporting committee members to do so, as appropriate
- Monitoring and reporting to the committee on levels of member engagement
- Staff Representatives
The Staff Representatives represent the interests of staff PiAN members to the committee.
Responsibilities include:
- Identify and act on opportunities to promote PiAN membership to staff
- Regular engagement with staff members to understand their priorities, preferences and feedback and report this to the committee
- Propose ideas for community-building initiatives, and work with the committee to deliver them
- Work with the committee co-chairs to raise awareness of staff member priorities and issues with UoM stakeholders
- Work with the co-chair (staff) to engage with other UoM employee networks on collaboration opportunities
- Student Representatives
The Student Representatives represent the interests of student PiAN members to the committee.
Responsibilities include:
- Identify opportunities to promote PiAN membership to student audiences
- Regular engagement with student members to understand their priorities, preferences and feedback, and report these to the committee
- Propose ideas for community-building initiatives, and work with the committee to deliver them
- Work with committee co-chairs to raise awareness of student member priorities and issues with UoM stakeholders
- Work with the co-chair (student) to engage with other UoM student LGBTIQA+ or Queer groups on collaboration opportunities (e.g., UMSU, UMSU international, GSA)
