University's records management wins Victorian public sector awards

The University of Melbourne has won two Sir Rupert Hamer Records Management Awards, for the University Records Digital Preservation Project and the delivery of a Records Managed SharePoint solution.

The Sir Rupert Hamer Records Management Awards is an initiative of the Public Records Advisory Council which provides advice on the administration of the Public Records Act 1973 to the Victorian Government and Public Record Office Victoria.

The Awards recognise excellence and innovation in records management in the Victorian Public Sector; showcasing projects that reflect innovation and dedication to best practice record-keeping and the preservation of records of permanent value.

The University’s Digital Preservation Program successfully developed workflows to connect the University’s Electronic Document and Records Management System (EDRMS), with the University’s digital preservation platform, so that records identified as having enduring value - and associated metadata - could be packaged and transferred for long-term preservation.

The University also developed Records Managed SharePoint, a customised version of SharePoint to support records management compliance as an integrated system solution with the EDRMS. The University’s Records and Information team are responsible for the implementation and support of all Records Managed SharePoint sites. Records Managed SharePoint offers a user-friendly experience for University employees to manage University records in a system which achieves compliance by design.

The awards were proudly accepted by Ellie Powell, Manager, Records & Information and Jaye Weatherburn, Program Manager, Digital Preservation Program, who each recognised the dedication and collaborative work between colleagues from Legal and Risk (Records and Information), Scholarly Services (Research and Collection Stewardship), Business Services within the University, and system vendors.
