The application process

If you’re ready to grow your career as part of a vibrant community where your work makes a difference search our current job opportunities! You can filter by a range of criteria including keywords, work type, campus or category. New jobs are posted every day and we encourage you to register for a Job Alert tailored to your interests.

Once you have found your perfect job match simply click the “Apply now” button at the bottom of the screen and complete the application form.

If this is your first time making an application with us you’ll be asked to create an account with a valid email address and set a password. If you already have an account you can sign-in through the Existing Applicant portal. It’s best to make sure your details are still up to date including documents such as your CV. You can also use this portal to change your password or reset it if forgotten.

What happens next?

You will receive an email confirming receipt of your application. If you do not receive any communication, please check that the email address used on your application form is correct as well as your Spam folder. If you have not entered a valid email address, we will not be able to contact you.

The following guide shows the stages in a typical application process. However, as we have such a diverse range of roles the application and assessment processes may vary to ensure we’re giving you the best opportunity to demonstrate your skills and experience.

Step 1

Your application will be considered by a Selection Panel for shortlisting.

If you are not shortlisted, you will be notified via email that you have been unsuccessful. We are committed to providing all applicants with an outcome. We believe in transparency and aim to provide this outcome within 2 weeks following the advertising close date.

Step 2

If you have been shortlisted, congratulations! A friendly University representative to conduct a phone screen, or arrange a time for an interview or alternative selection activity. This may include a video interview, job-oriented assessment or psychometric assessment.

Step 3

If you are successful in progressing beyond pre-screening activities you will be invited to attend a panel interview. You will be advised of the panel representatives prior to the interview, interviews generally take between 30 – 60 minutes and may take place virtually or at one of our beautiful campus locations.

General interview tips include:

  • Read the position description. Make sure you thoroughly understand the role you have applied for and prepare to speak to your strengths as a candidates based on the responsibilities and selection criteria.
  • Do your research. Our About Us section is a great place to start. If your application relates to a specific Faculty, research institution/initiative or project be sure to explore any relevant publicly available resources or information provided by a University representative.
  • Plan your trip. Make sure you know where you need to attend your interview and you have a clear plan on how to get there, check traffic reports and public transport updates as necessary, if you are unclear of where to attend or concerned you may be delayed be sure to contact the representative who invited you.
  • Prepare your own questions. We love to be asked about the exciting work being conducted by the University and it shows your motivation and passion.

Step 4

If you are successful in progressing to the next stage your references will be contacted. You will be notified of this, and your permission obtained before this occurs.

Step 5

If you are the preferred candidate you will be contacted and a letter of offer will be sent to you.

Candidates unsuccessful in progressing beyond the interview will be notified by phone and feedback will be provided as part of our commitment to providing a positive candidate experience.

Applicants Requiring Adjustments

Before you start your application, it is important to read the Position Description. It will help you decide if the role is the right fit for you. If you require further information, it is recommended you phone the Department contact listed in the position description to discuss the position further.

  • Applications close on the date specified in the ad, we may be unable to accept applications following this date.
  • Complete the form thoroughly; you'll need to provide personal details and may be asked to provide education information, previous employment and more.
  • Upload your CV, Cover Letter, and any other required documents (such as Key Selection Criteria where requested).

You will have to observe a size limit (2 Mb or 2,000 Kb) for each attached document. If your file exceeds this limit, you will receive an on-screen error message.

Where a position states that certain qualifications are required, you must include full details in your application. If shortlisted for interview, you may be required to bring either certified copies or the original qualifications (together with transcripts where applicable).

Yes.  You can apply for multiple jobs. However you will need to submit a unique application for each job.

You can check your progress at any time by signing in as an Existing Applicant. This allows you to view all your applications, complete or withdraw applications, update your personal details or change your password.

If you wish to complete your application in stages, you can complete the first page of the application and click on Save & Exit. You can then come back and complete your application later.

Please note: Applications must be  completed within three (3) weeks otherwise they will be deleted. You will receive warning of this deletion via email.

The University of Melbourne treats personal information as confidential and endeavours to comply with the Information Privacy Act (VIC) 2000 to protect your rights and prevent misuse of personal information collected.

The following people will be able to view your application:

  • You
  • Department Administrators (who manage and administer department recruitment)
  • The Selection Panel responsible for assessing your application
  • The Faculty/Division representative who has the authority to approve selection decisions
  • Human Resources & Talent Acquisition (who manage and administer university-wide recruitment)

Where required by law or relevant to a particular position, the University of Melbourne may conduct some or all of the following pre-employment screening checks:

  • Working with children check
  • Criminal History
  • Bankruptcy
  • Directorship search
  • Company checks
  • A criminal records check may be required for some positions.

Some positions may be marked “Internal Applicants Only”. To apply for internal positions, you must be a current Continuing, Fixed-term or casual staff member at the University of Melbourne at the time of the advertisement.

When applying for a position at the University of Melbourne, you may be required to respond to key selection criteria along with your CV and cover letter. You are only required to respond to Key Selection Criteria where requested in the job advertisement. These criteria help the section panel find out more information about your professional experience, skills and qualifications that directly relate to the position you are applying for. 

The key selection criteria are found in the Position Description attached at the bottom of the advertisement. The key selection criteria section will be numbered and should address each of these individually.

Before responding to the Key Selection Criteria, make sure you read through the position description thoroughly to understand the role requirements.

Respond to each of the numbered Key Selection Criteria individually with specific examples from your professional experience to showcase your suitability.

Key Selection Criteria should be created as a separate document and uploaded in addition to your CV and cover letter.

All employees are required to provide certified copies of documents showing Australian work rights. These can be any of the following: 

A certified copy of either

  • A valid Australian or New Zealand passport
  • An Australian citizenship certificate or an Australian birth certificate, and an Australian driver's licence or Government issued photo ID
  • A certificate of evidence of Australian citizenship and an Australian driver's licence or Government issued photo ID
  • A screenshot of the AEC electoral enrolment check and an Australian driver's licence or Government issued photo ID

A Certified copy of current passport and certified visa grant notification with suitable working rights.

Should you be offered employment at the University of Melbourne, you will be prompted to upload a copy of your certified work rights.  

For the purposes of work rights applications at the University of Melbourne a certified copy is a photocopy of an original document that is verified as sighted (along with the original) by;

Staff on temporary visas are not covered by the national public health insurance scheme and must take out their own private health insurance for the duration of their appointment.
